Position Summary:
Reporting to the Dealer Support Supervisor, the Bilingual Order Support Coordinator.
provides support to all dealer parts employees, internal staff and managers with backorder inquiries and order placement, while maintaining service levels and standards that meet corporate objectives.
Hours: 7.5 hours Monday-Friday.
Key Responsibilities:
In this role your primary customers are parts department personnel at over 400 dealerships across Canada and head office staff. Your primary task in this role is to provide order support for auto parts to those customers in English and French.
To that end, you will have the following responsibilities:
- Respond to dealer inquiries by ticket system or emails, following policies and maintaining service levels in a professional, timely, accurate manner.
- Dealer inquiries may include order placement by brands, key cut request, estimated time of arrival for backorder inquiries and support for employee orders.
- Coordinate with internal departments to complete the assigned task with accuracy.
- Foster positive relationships with dealers to promote dealer satisfaction.
- Maintain accurate documentation of all inquiries and processing actions.
- Provide coaching and training to dealers to improve their business processes.
- Make recommendations to enhance internal workflow and improve customer satisfaction.
- Produce weekly or monthly performance reports to share with management.
- Other duties as assigned.
QUALIFICATIONS:
- Bilingual English/French is required.
- Experience in the automotive industry with either dealership or similar position.
- Minimum 2 years of experience in customer service or help desk environment, OR equivalent experience in auto service / parts sales.
- Intermediate computer skills required, specifically: Excel, Outlook, Word, Chrome.
- Advanced Excel and/or analytical skills and training are an asset.
- Strong attention to detail and problem-solving skills.
- Must be team oriented and customer service focused.
- Solid organization and time management skills.
- Excellent communication skills.
